1. About this policy

Fropodz Pty Ltd (ABN 93 699 579 989, ACN 699 579 989) respects your privacy. This policy explains how we handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) contained in that Act.

It applies to information we collect through this website at fropodztec.site, through email correspondence, and in the course of quoting for and carrying out our modular pod work.

2. What personal information we collect

We only collect personal information that is reasonably necessary for our functions and activities. Depending on how you deal with us, that may include:

  • your name and the name of any organisation you represent;
  • your email address and any other contact details you choose to give us;
  • the address, suburb or postcode of the site a pod is intended for;
  • details about the site itself, such as access, ground conditions and the intended use of the pod;
  • the content of your enquiries and our correspondence with you; and
  • records relating to any quote, order, delivery or aftercare work.

We do not seek sensitive information as defined in the Privacy Act 1988 (Cth). Please do not send us sensitive information unless we have specifically asked for it and explained why it is needed.

3. How we collect it

We collect personal information directly from you in almost every case: when you email us, when you use the enquiry form on our contact page, or when you speak with us during a site visit or about a job in progress.

The enquiry form on this website is a mailto form. It opens your own email application with the information you have typed, and nothing is transmitted until you choose to send that email. We do not operate a server that receives form submissions.

4. Why we collect, hold, use and disclose it

We use personal information for the purpose for which it was given, and for directly related purposes you would reasonably expect, including to:

  • respond to your enquiry;
  • assess a site and prepare a design, scope and quotation;
  • carry out and administer work you have engaged us for, including delivery and installation;
  • manage aftercare, relocation and maintenance requests;
  • keep the business, accounting and tax records we are required to keep; and
  • comply with our obligations under Australian law.

We do not sell personal information, and we do not use it to send marketing material you have not asked for.

5. Who we may disclose it to

We may disclose personal information to third parties where it is necessary for the purpose it was collected, including:

  • contractors and suppliers engaged on your job, such as transport, craneage or trade contractors, and only to the extent they need it;
  • our professional advisers, including accountants and legal advisers;
  • our email and website service providers, as part of hosting and transmitting our correspondence; and
  • a government agency, court or regulator where disclosure is required or authorised by law.

Some service providers we rely on, including email and website hosting providers, may store data on servers located outside Australia. Where that occurs we take reasonable steps to ensure the recipient handles the information in a way consistent with the Australian Privacy Principles, as required by APP 8.

6. Cookies and website analytics

This website is a set of static pages. It does not set advertising or tracking cookies, does not embed third-party analytics or social media scripts, and does not build a profile of visitors.

Our hosting provider may keep standard server logs, which can include IP addresses, request times and the pages served. These logs exist for security and reliability purposes. You can also configure your own browser to block or delete cookies at any time.

7. Storage, security and retention

We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. Those steps include restricting access to the people who need it and using reputable, access-controlled email and storage services.

No method of transmitting information over the internet is completely secure, and information sent to us by email travels at your own risk.

We keep personal information only as long as we need it for the purpose it was collected, or as long as we are required to keep it under Australian law, including record-keeping obligations for tax and business records. When it is no longer needed and we are not required to retain it, we take reasonable steps to destroy it or de-identify it, as required by APP 11.

8. Accessing and correcting your information

Under APP 12 and APP 13 you may request access to the personal information we hold about you and ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading.

Send your request to [email protected]. We will ask you to verify your identity and will respond within a reasonable period. Access is provided free of charge, although we may charge a reasonable cost for supplying it in a particular format. If we refuse access or a correction, we will tell you why in writing and explain how you can complain.

9. Anonymity

You may ask us a general question about our services without identifying yourself. We will not be able to prepare a quote, arrange a site visit or carry out work without contact details, since we cannot deliver those services anonymously.

10. Complaints

If you believe we have breached the Australian Privacy Principles or mishandled your personal information, please contact us first at [email protected] with the details. We will acknowledge your complaint, investigate it and respond in writing, usually within 30 days.

If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (OAIC), which oversees the Privacy Act 1988 (Cth). The OAIC publishes its complaint process and contact details on its website.

11. Changes to this policy

We may update this policy from time to time to reflect changes in our practices or in the law. The current version is always the one published on this page, and the date it was last updated is shown at the top.
